How we handle
money.

These are the rules we hold ourselves to. Not suggestions, actual commitments to the community that's funding this event.

Donations
Public by Default

All donations are listed on this page with the donor's name and amount. Donors who prefer privacy can contribute anonymously; their amount still appears in the public ledger, just without attribution.

Expenses
Every Dollar Accounted For

Every expense is listed here: venue costs, any printing, any incidentals. Nothing goes unaccounted for. If money was spent on the event, it appears on this page.

Surplus
Returns to the Community

If donations exceed costs, any surplus is either rolled into fee assistance for attendees who need it, held toward a future NA Regional event, donated toward IMESA, or returned to donors proportionally. There is no profit.

The figures above are estimates based on current venue discussions. Nothing has been paid yet. Venue costs assume $170/lab/day for two computer labs and $325 for one additional classroom. The per-computer fee of $25 will scale with final registrant count. Event liability insurance is estimated at $200–$300 for $1M/$2M coverage based on current market rates for one-day events; actual cost depends on the carrier and any venue requirements. Catering is estimated at $600–$900 for approximately 30 people for casual drop-off lunch service. Custodial and linen rates have not yet been confirmed with the venue. This table will be updated as the event takes shape and actual costs are confirmed.

About entry fees

Entry fees (~$25/person) are collected at registration to cover per-workstation venue costs. They are reported here as a bulk total per registration period only. Individual registrant details are not published. The entry fee structure is explained in full on the event fees page. Donations collected here go toward fee assistance, prize pool contributions, and other supplemental costs beyond the base venue fee.
